1. The math your database owes you
Industry benchmarks value every contact in a working database at roughly $624 per year in commission potential. A 500-contact sphere is about $312,000 a year of latent GCI. In higher price markets like Silicon Valley, run the math with your own numbers:
- Goal GCI ÷ your average commission = deals you need
- Deals needed ÷ the ~6.4% industry contact-to-close benchmark = contacts you need working
And the decay clock is running: an untouched database shrinks about 15% a year. People move, switch emails, and forget you exist.

- Home anniversaries and birthdays trigger automatic touches

- You can text your whole sphere a market update in under 10 minutes
- If you switched brokerages tomorrow, the database comes with you
8-10: you're running a real system. 4-7: money is leaking every month. 0-3: your database is a goldmine with no shovel. That's fixable in weeks.
4. The cadence top agents run
Market-dominating agents touch every contact every 30 to 45 days, mixing value (market updates, home value reports), personal (anniversaries, check-ins), and useful content. Quarterly database cleaning keeps the decay away. None of this needs to be manual: the touches that don't need your voice get automated, so the ones that do get your full attention.
