The 5-Minute Speed-to-Lead Playbook

How to win the jobs that go to whoever answers first, even when you're on a roof. Six short pages. Copy and paste everything.

1. The 5-minute window

Industry research is brutal on this: 78% of buyers go with the first company that responds, and answering within 5 minutes makes you roughly 21x more likely to qualify the lead than waiting half an hour. Meanwhile, studies show 62% of calls to home service businesses ring out, and fewer than 3% of those callers leave a voicemail.

A homeowner with a broken AC calls three companies from the same search page. The shortlist isn't built over a week. It's built in an hour, and it's one name long: whoever answered.

2. The missed-call math

Do this with real numbers from last week:

Example: a $2,500 average ticket and 8 missed calls a week leaks about $260,000 a year at that close rate. Even if you cut that estimate in half twice, it's still the biggest line item in your business nobody talks about.

3. The 3-line text that saves the lead

When a call gets missed, a text inside 60 seconds keeps you on the shortlist. Copy these:

Standard:

Hey, this is [Name] at [Company]. Sorry we missed you, we're on a job site. What's going on at your place? Text me here and I'll get you taken care of today.

Emergency trades (plumbing, HVAC, electrical):

This is [Name] at [Company]. Saw your call. If this is urgent, reply 911 and I'll call you back within 10 minutes. Otherwise tell me what's up and we'll get you scheduled.

After hours:

Thanks for calling [Company]! We're closed right now but you're first in line tomorrow. Reply with what you need and your address, and we'll confirm a time by 8am.

4. The first-5-minutes checklist

5. The estimate follow-up cadence

Industry surveys suggest fewer than one in five contractors consistently follows up on unsold estimates, and consistent follow-up closes 20 to 30% more jobs from the same leads. The cadence:

Four touches. Zero desperation. The job you already quoted is the cheapest revenue you'll ever earn.

6. Do it manually vs automate it

Everything above works by hand if you're disciplined every day, on every call, including the ones during dinner. Nobody is. The automated version: missed calls text back by themselves in seconds, AI answers questions and books the estimate, every quote enters the follow-up cadence automatically, and every finished job triggers a review request.

That's the system we build, on a platform you own: the account, the data, and the payments in your name from day one. Done for you, or taught to you with an SOP.
