Chapter one

Missed call text back (one workflow, three steps)

  1. Trigger: Call Status, Missed. Filter: direction inbound.
  2. Wait: 8 seconds. It should not feel like a robot fired the instant they hung up.
  3. Send SMS: the text below. First name pulls in from the contact.

  • Call the number from your own cell, hang up, wait eight seconds. The text should land, and the thread shows in Conversations.
Chapter two

The booking calendar

  • Calendars, Create: one service calendar per job type. Start with your most common one.
  • Duration: 90 minutes for a water heater. Buffer: 30 minutes between jobs.
  • Hours: 7 to 5, Monday through Saturday, or whatever you actually work.
  • Confirmation text: on, to the customer and to you. This is the setting everybody skips.

  • Tap the link on your phone, book a slot, and check the appointment shows on the contact and on your calendar.
Chapter three

After hours voice agent

  • AI Agents, Voice AI, New agent. Give her a name and the greeting below.
  • Business hours: off during the day, on after six and on weekends.
  • Booking: point her at the same calendar from chapter two.
The prompt
You are Nova, the after hours receptionist for Mike's Plumbing in Los Gatos, California. Greet the caller warmly and briefly. Your three jobs, in order: ask what is going on, ask where they are and whether it is an emergency right now, then offer the next open slot on the calendar and book it. Keep every reply under two sentences. Never quote a price, an estimate, or a range; say the plumber will confirm pricing when he calls back. If the caller is in immediate danger from water or gas, tell them to shut off the supply if they safely can and call 911 for a gas leak. End every call by repeating the booked time and telling them a text confirmation is on its way.

  • Call after six from your cell. She should ask the three questions, book the slot, and the transcript should be on the contact.
The gotcha

Your texts will not send on day one

  • US business texting needs the number registered under A2P 10DLC. Carriers approve it in days, sometimes weeks.
  • Register the number the day you buy it, in Settings, Phone Numbers, before you build anything.
  • The voice agent does not need that registration. Turn her on first and let her carry the phone until the texts clear.
