Where the handoff breaks

You finish a discovery call, read the summary, then open the CRM and copy each follow-up into a task. The task needs a contact, an owner and a due date. If you skip that step, the commitment stays in a document while the rest of your team works from the CRM.

Oatmeal is built for operators who want that handoff inside GoHighLevel. It does not replace your CRM, and you do not need to move your contacts into a new meeting workspace. You can also use the recording and notes without connecting a CRM.

What you need before the first call

The public download is a free 30-day evaluation with every feature. Continued use after the evaluation requires a one-time license. Read the Oatmeal setup guide before installing so the API-key step does not come as a surprise.

• A Windows 10 or 11 computer and permission to record the meeting.
• Your own Anthropic API key for AI notes. Provider usage is billed separately from the Oatmeal license.
• The local transcription engine, downloaded during setup. Allow roughly 750 MB for that initial engine download, plus space for your recordings.
• For CRM features, the GoHighLevel connection details and permissions described in the setup guide. Keep API keys private.
• An optional Deepgram key if you want cloud transcription and remote speaker separation. Check the data-handling guide before enabling it.

From a booked call to a task

Oatmeal can use GoHighLevel bookings to identify a meeting. It also looks for attendee-email matches when that information is available. An exact email match takes priority when it conflicts with the booking. The recording prompt can show the matched contact and their open tasks, which gives you a chance to notice the wrong person before the call starts.

After recording, transcription feeds the AI notes. The notes separate decisions, action items and open questions. The CRM connector can create tasks from those action items on the matched contact. The contact also receives a brief meeting-log note; this is not a promise to upload your full transcript or meeting summary into the CRM.

Ambiguous matches need review. Do not assume a generic calendar title proves who attended, or that every person mentioned in a conversation should become the task owner. The safest first test uses a contact you control and a clearly stated follow-up.

Try a small, checkable meeting first

This is a test procedure, not a claim that we ran a benchmark on your account. AI can miss a qualification or misunderstand a deadline. Checking a short known example tells you more than reading another promise about perfect summaries.

• Create a test contact in your own GoHighLevel account and confirm the connection in Oatmeal.
• Record a short meeting with permission. Say one specific follow-up and an explicit due date, and add any detail the AI should preserve to the rough notes.
• Open the resulting notes. Compare the action item against what was actually said, including the person responsible and date.
• Open the contact in GoHighLevel. Check that the task exists on that contact and that its title, due date and assignment are useful.
• If the match or task is wrong, correct it and resolve the setup issue before using the same flow for important client calls.

What leaves your computer

The recording, transcript and notes are stored as files on your computer. AI notes still use a cloud service: the transcript, selected screen images when enabled, and relevant CRM context can go to Anthropic on your API key. If you add Deepgram, audio can go there for transcription and speaker separation. Local storage does not mean the entire workflow runs offline.

Connecting GoHighLevel sends task data and the brief meeting-log note to your CRM. The public app does not include the private approval inbox or automatic client-email workflow used inside the On Point Tech operating system. Sending a recap is a separate step you should review.

When a different notetaker may fit better

If your company already manages meeting work in a shared cloud workspace, you may prefer that workspace's collaboration and administration. Several competitors have CRM integrations, so compare the actual supported destination and task behavior rather than assuming Oatmeal is the only app with integrations.
