Use the same currency and the same number of people for both options. Enter the total license cost for that group and its combined monthly charges. If you already hold the license you need, you can enter zero for the additional license cost.

What changes the estimate?

AI note costs depend on your selected model, transcript length, screenshots and retries. Optional cloud transcription adds its own usage costs. Use a provider bill or a short representative test to estimate your monthly total, then try a higher-cost scenario too.

Oatmeal's one-time license does not include unlimited Anthropic or Deepgram processing. A ChatGPT or Claude subscription is not the API credit this setup uses. Check the current Oatmeal offer and your provider accounts before entering a price.

The worksheet does not assign a cash value to setup time, ongoing support, computer wear, storage or backups. Add relevant recurring charges to the provider-cost field if you want them counted. Treat any separate setup fee as an additional upfront amount in your own comparison; this version has no separate setup-fee field. Use the same approach to taxes and currency conversion on both sides.

A lower total also does not prove that two products do the same job. Shared workspaces, mobile support, recording modes and CRM workflows may differ. Read the meeting-notetaker comparison alongside the numbers.

The arithmetic is visible

Oatmeal total = one-time license + (monthly provider cost × months).

Alternative total = monthly alternative cost × months.

Difference = alternative total − Oatmeal total. A positive difference means the entered Oatmeal costs are lower; a negative difference means they are higher.

When the alternative's monthly cost is higher than the entered provider cost, the first month at or below its cumulative cost is the license cost divided by that monthly difference, rounded up to a whole month. Results start at the end of month 1. If the totals tie exactly, strictly lower cost begins the following month.

If ongoing costs are equal, an upfront license cost is never recovered through monthly savings. If Oatmeal's ongoing costs are higher, waiting longer will not produce a lower total under the same assumptions. The worksheet shows both cases directly.
