An Otter alternative when you want your meeting files on your computer

Which Otter limit are you trying to solve?

Start with the exact limit. Otter's Basic plan lists 300 monthly transcription minutes and 30 minutes per conversation. Pro increases those to 1,200 in-app minutes and 90 minutes per conversation, with ten monthly file imports. Check the current Otter plan table because recording allowances and file-import allowances are different.

That distinction changes the recommendation. Someone with a folder of old interviews needs an import workflow. Someone taking live client calls needs reliable capture and useful follow-up. Oatmeal's current comparison here is about recording future meetings on Windows. We do not promise a bulk Otter migration or a replacement for every file-import workflow.

Otter can already record without a bot

Otter's Mac and Windows desktop app can capture meeting audio without adding Otter Notetaker as a participant. If a visible bot is your only complaint, check that option before changing apps.

Oatmeal also records through the computer, using microphone and system audio. Its meeting files live in your local data folder. This makes it a fit for someone who wants a recording and transcript they can open outside a hosted meeting library. You still tell participants that you are recording and follow your workplace's recording rules.

Export your archive before changing your workflow

Otter supports exports, and its export guide explains the available formats. Bulk export is available on Business and higher plans. A comparison that says Otter traps every transcript would be wrong.

Before canceling or downgrading, save the meetings you need and check the files. Pick an older meeting, a long call and one with several speakers. Confirm that the transcript opens, the date and title make sense, and any audio you expected is present. Keep an untouched backup.

With Oatmeal, the new recording, transcript and notes are files on your computer from the start. That puts backups in your hands too. A local archive can be useful, but a failing disk still needs a backup plan. Screen video has its own retention setting: the default removes it after 14 days unless the meeting is pinned.

For a GoHighLevel user, the next step can be a task

Oatmeal can connect to GoHighLevel and create tasks from meeting action items on the matched contact. That is useful when the work belongs in a client record and you are tired of moving it there after every call. The connector sends tasks and a short meeting-log note, rather than the complete transcript or summary.

You configure the CRM connection in Settings. Start with a test contact and check the owner, deadline and wording of each task against the conversation. Generated notes can misunderstand a tentative idea as a commitment. Oatmeal's standalone download does not include the internal AIS-OS approval inbox or its automated client recap workflow.

Compare total cost, including AI usage

Oatmeal is free to download and evaluate for 30 days with every feature. Continued use of the official build then requires a one-time license. The AI service is separate: you bring an Anthropic API key and pay that provider for notes. An optional Deepgram key adds usage charges when its transcription runs.

That model gives you a different bill to manage. It does not make every meeting free or guarantee a lower total for every user. Check your normal meeting length and volume, the current license price and provider charges before deciding. If you prefer a single hosted subscription that includes the processing, Otter may be simpler.

Know what leaves the computer

Oatmeal can transcribe locally, but Anthropic receives the transcript, enabled screenshots and relevant connected CRM context to write the notes. If you add Deepgram, audio can go there for transcription and speaker separation. When the local engine is unavailable or does not support the selected language, that can include your microphone track as well as the other participants.

On Point Tech does not receive your meeting recordings or notes. This is still a workflow with outside AI providers. If no meeting content may leave your computer, Oatmeal's AI notes do not meet that requirement.

Allow time for API-key setup and the first transcription-engine download, roughly 750 MB. The current Windows installer is unsigned. Read the setup guide, then record a short test call with your normal headset. Listen to both sides and inspect the generated notes before moving your regular meetings.
