Book the Saturday Landscaping Lead While the Office Is Closed

Book the Saturday Landscaping Lead While the Office Is Closed

Key Takeaways

Saturday, nine forty in the morning. A homeowner is standing in her backyard looking at a lawn that gave up in August. She fills out the estimate form on a landscaper's website, and one minute later her phone buzzes: hi Maria, got your request, here is a link to pick a time for the estimate. She picks Tuesday at eight, right there on the patio. Nobody was at the desk. In this episode of The Trade Stack from On Point Tech Solutions in Los Gatos, we build that Saturday reply. It is a Go High Level San Jose build for landscapers in three chapters, with a check you can run on yourself after each one.

The weekend is when she is shopping

This is for the landscaper who spends Saturday in somebody else's yard, or takes Saturday off. Either way, nobody is answering the office. Here is what one of those forms can be worth. HomeAdvisor puts professional landscaping at about $3,500 on average, with a normal range from about $1,250 up to about $6,000.

Now think about when she actually has time to fill that form out. Probably not Tuesday afternoon at work. It is the weekend, when she is home and looking right at the yard. So the day your office is shut is the day she is shopping. This build does not make you faster. It makes you there, on a day you are not.

Chapter one: the form is the trigger

In HighLevel, a trigger is what starts a workflow, and the one you want is called Form Submitted. Then add a filter. HighLevel's getting started page says filters refine when the workflow should trigger, so pick your estimate form by name, and only that form.

The very first action, right under the trigger, is the text. No wait step in front of it. The whole point is that it lands while she is still standing in the yard. Keep it short: her first name, your business name, and one line that says you got it. The booking link comes in chapter two, so leave room for it.

Your check: publish the workflow first. HighLevel runs a workflow as long as it is published and the trigger conditions are met, so a draft does nothing. Then grab your phone, go to your own website the way a customer would, and fill out your own estimate form with your own mobile number. The text should land right away. If it does not show up at all, open the trigger and confirm the filter points at your estimate form.

Chapter two: the reply that books

A text that says we will call you Monday asks her to wait. A text with your booking link lets her finish the job right now. Here is how ours reads: Hi Maria, got your request for the backyard. Pick any time that works for the estimate, right here, and I will see you there. That is a written example, not a customer message.

The calendar behind that link decides what she can pick. HighLevel calls the first setting Office Hours, the hours within which appointments can be scheduled. Set them to the hours your crew really works. She books on a Saturday, and it lands on a Tuesday. The second setting is Date Range, how far into the future somebody can book. Two weeks out is a good start.

Your check: book yourself. Fill out the form again, open the link in the text, and book the first slot it offers. Then read three things. Does the link open cleanly on a phone. Are the times it offers the times your crew actually works. Did the appointment land on your own calendar with your name on it. Then cancel your test booking so Monday does not start with a practice estimate on the board.

Chapter three: Monday morning

She booked herself, which is great. Somebody still has to walk that yard knowing what she wants, so the workflow tells you twice.

First, right away, an Internal Notification. HighLevel says it goes to users inside the account by email, in app, text, or WhatsApp, so you know on Saturday if you want to. Second, the Monday version. Add a Wait step and turn on the part called Advance Window. It gives you three fields: Resume On, where you pick the weekdays, Resume Between Hours, and an extra date filter. Set it to Monday between seven and eight, then add a second notification with her name and her answers from the form, before the first truck leaves the yard.

Go High Level Wait step with an Advance Window set to Monday morning so the landscaper gets the weekend lead before the crew heads out

Your check: run Monday on a Wednesday. Point the Advance Window at today and the next hour, then send yourself through. The first notification lands right away and the second lands inside that window. If you send the first one to the assigned user, HighLevel only sends it when the contact has one, so assign new form leads first or send it to a named person. Then set the window back to Monday before you publish.

One setting that makes the weekend work

Workflow settings has a switch called Time Window. HighLevel's page says it controls when communication actions, like a text or an email, can run, and anything scheduled outside the window resumes at the next available time slot. Internal actions are not affected.

That is a handy tool for weekday campaigns. For this one workflow, set it to include Saturday and Sunday, or leave it off. Now her text goes out the minute she asks, and your notification goes out with it. Same Saturday, both of you in the loop.

Why a Go High Level San Jose landscaper wants this

Bay Area homeowners plan yard projects on their days off, and they often ask more than one company at once. The company that replies first with a way to book is the one that ends up in the backyard on Tuesday.

Most landscapers we talk to around San Jose and the South Bay are on a job site all weekend, which is exactly where they should be. This build answers the form, books the estimate, and hands you the lead Monday morning, inside a HighLevel account you own. Built for you, or taught with an SOP so your office manager can run it.

Practical Steps

  1. Create a workflow with the Form Submitted trigger, filtered to your estimate form only.
  2. Add a text as the first action with her first name, your business name, and your booking link.
  3. On the booking calendar, set Office Hours to your crew's real hours and Date Range to about two weeks.
  4. Add an Internal Notification, then a Wait with an Advance Window for Monday between seven and eight, then a second notification with her form answers.
  5. Include Saturday and Sunday in this workflow's Time Window, or leave it off.
  6. Publish, then fill out your own form, book yourself from the text, and cancel the test booking.
