Turn HighLevel Smart Lists Into Facebook Ad Audiences

Turn HighLevel Smart Lists Into Facebook Ad Audiences

Key Takeaways

Most local businesses already have their best ad audience sitting in their CRM. The people who booked, bought, or opened last week's email. The trouble is getting that list into Facebook and Instagram ads without exporting spreadsheets every Friday. In a recent HighLevel Did You Know video, Andrew shows how Smart Lists plug straight into HighLevel's Ad Manager as Meta custom audiences. Here's how it works and how we put it to work as a marketing automation shop serving San Jose from Los Gatos.

Smart Lists, meet your ads

A Smart List is a saved filter on your contacts. Everyone tagged as a past customer. Everyone who opened an email in the last 30 days. Everyone who booked a consult this quarter. HighLevel keeps the list current as contacts change.

The Ad Manager lives under Marketing, is built into your account, and connects to your Meta ad account. Put the two together and that Smart List becomes an audience you can show ads to on Facebook and Instagram.

Build a custom audience from a Smart List

  1. Go to Marketing, then Ad Manager, then Settings, and make sure your Meta ad account is connected.
  2. Open Audiences. HighLevel pulls in the custom audiences you already have in Meta.
  3. Click New Audience, choose Custom Audience, then Customer List.
  4. Instead of uploading a file, choose Smart List and pick one or more lists. You'll see the contact count for each.
  5. Under conditions, choose whether the audience updates as the list changes. Pick yes.
  6. Name it something clear, like "Engaged 30 days," and create it.

The three-dot menu next to any audience lets you view, edit or delete it. View shows the size, the type and the conditions you set.

The dynamic update is the whole win

That yes in step five is what makes this worth doing. Every time a contact lands in the Smart List, the Meta audience updates with them. No re-uploading. No stale lists. Andrew calls it one of the biggest reasons to run ads from inside HighLevel, and we agree.

Think about what that means in practice. Someone opens your email on Tuesday. They join the "opened in 30 days" Smart List. By the time they scroll Instagram that night, they can be in the audience seeing your offer. The CRM and the ads work as one system.

Grow it with a lookalike audience

Your customer list is your warmest audience, but it's also your smallest. A lookalike asks Meta to find more people who resemble it.

Click New Audience, choose Lookalike Audience, and pick the custom audience you just built as the source. Name it, set the location (the United States, or tighter if you serve one area), and choose the similarity percentage. One percent is the closest match to your source. Moving up to 2, 3, 4 or 5 percent makes the audience bigger and a little broader. Andrew recommends starting at 1 percent, and that's where we start too.

Why marketing automation in San Jose works better this way

San Jose and the rest of the Bay Area are expensive places to buy attention. Showing ads to strangers costs real money. Showing them to people who already know you, and to people who look like your best customers, makes every dollar work harder.

A med spa in Willow Glen can target everyone who booked in the last six months with a rebooking offer. A home services company in the South Bay can build a lookalike from its five-star customers. A coaching business can retarget everyone who opened the webinar invite. In each case the list lives in the owner's own HighLevel account and the audience keeps itself current.

One habit to keep: build these lists from people who gave you their contact info and opted in to hear from you. That keeps your audiences clean and your ad account healthy.

Practical Steps

  1. List the three groups you'd most like to show ads to: past customers, recent engagers, and hot leads.
  2. Build a Smart List for each, using filters like tags, appointment status or email opened in the last 30 days.
  3. Connect your Meta ad account inside HighLevel's Ad Manager.
  4. Turn each Smart List into a custom audience with dynamic updates on.
  5. Build a 1 percent lookalike from your best customer audience.
  6. Check audience sizes in a week and watch them grow on their own.
