Key Takeaways
- Workflow AI in HighLevel builds the workflow for you. It puts in the trigger, the actions, the if/else branches and the message copy. It does more than give advice.
- You can type a prompt, dictate it out loud, or start from an example like lead nurturing, form automation or appointment reminders.
- Chat mode lets you plan with the AI without touching the workflow. Point and edit lets you click one step, or shift-drag to pick several, and change only those.
- It writes your texts and emails, renames the steps so the workflow stays readable, and pulls in your custom values.
- The more specific the prompt, the better the build. Name the channel, the timing, the customer and the tool. Then test before any customer sees it.
Most owners know they need follow-up. The new lead should get a text. The estimate should get a nudge after three days. The big deal should ping somebody. Then they open the HighLevel workflow builder, see a blank canvas full of triggers and actions, and close the tab. The leads go cold anyway. This post rewrites HighLevel's Content Army tutorial on Workflow AI for owners who want that follow-up running without learning the builder first. On Point Tech Solutions is a GHL consultant Bay Area businesses work with out of Los Gatos, and this is the tool we now reach for first on a new build.
What Workflow AI actually does
Open Automation on the left, then Workflows. If you have never built one, you will see a chat box waiting for you. If you already have workflows, click Build using AI to get the same box. Inside an existing workflow, click the Workflow AI button on the left or press Shift and A.
The video starts with a simple prompt: notify my team on Slack when a high value opportunity is created. Send it, and Workflow AI opens the builder and starts working on the right side of the screen. A few seconds later there is a real workflow. An Opportunity Created trigger. An if/else branch that checks whether the lead value is over $1,000. A Slack notification on the high value side. On the left, the assistant explains what it built and what is still missing, like connecting your Slack integration first.
Not sure where to start? Use the example prompts. Lead nurturing, form automation, email campaigns, appointment automations and contact management are all there. You can also hit Dictate and just say what you want.
Change it by talking to it
Once the first version exists, you keep chatting. In the tutorial the next ask is a second Slack alert for low value opportunities, plus a tag. Both go in one message, and both show up in the workflow a few seconds later.
Two modes make this safer than it sounds.
- Chat mode talks without editing. Ask how you would add a casual email sequence for small deals and an urgent one for big deals. It lays out the plan, the wait steps and the emails, and suggests the next question. Nothing changes until you tell it to build.
- Point and edit targets one piece. Click the low value tag and say "change this tag to include the date." Only that step changes. Hold Shift and drag to grab several steps, then say "duplicate these and add a wait between them to make a 3-day SMS follow-up."
On an existing workflow there are shortcut buttons too. Describe this workflow walks through every trigger and action in plain English, which is great when you inherit an account and have no idea what anything does. Help with error lets you paste in an error message and work through it.
It writes the messages too
After building that 3-day SMS sequence, the texts were empty. The next prompt asked it to rewrite them as B2B sales questions that move the lead toward a call. Workflow AI wrote a different message for each step, used the contact's custom values and the sender's name, and renamed each action so the workflow stayed organized.
You still read every message before it goes live. It is your business talking. But a solid first draft in seconds beats a blank SMS box.
How to prompt it so the build is right
The tutorial ends with best practices, and they match what we see on client builds:
- Be specific. "Build a follow-up sequence" gets you something generic. "Build a 5-day text and email follow-up for homeowners who asked for a kitchen remodel quote and have not booked" gets you something close.
- Name the tools. Say SMS, email, Slack. "Notify our project management platform" is too vague for it to act on.
- Go big. It handles long, detailed prompts. Give it the full scenario.
- Plan in chat mode first if you do not know the steps, then tell it to build what it suggested.
- Test everything before a real customer goes through it.
Why This Matters for Bay Area and San Jose Businesses
Bay Area leads shop around. A San Jose homeowner who wants a roofing quote may ask three companies the same evening. Whoever texts back first, and keeps following up without being annoying, usually wins the job. Most local owners already pay for HighLevel and never built that follow-up, because the builder felt like a second job.
Workflow AI shrinks that gap. A Campbell med spa can describe its consult reminder in a sentence. A Los Gatos contractor can say exactly how long to wait before the estimate nudge. The owner still decides the rules. The AI handles the clicking. And because it is built in your own account, the workflows are yours.
Practical Steps
- Go to Automation, then Workflows, and click Build using AI (or open the chat box if it is your first workflow).
- Write one clear prompt: the trigger, who it is for, the channel, the timing and the goal.
- Read the explanation on the left and set up anything it says is missing, like an integration.
- Use chat mode to plan bigger additions before it edits anything.
- Use point and edit to change single steps instead of rebuilding the whole thing.
- Have it write the texts and emails, then edit them in your own voice.
- Run a test contact through the whole workflow before you publish it.

Final thoughts
Workflow AI does not replace knowing what your follow-up should say and when. It removes the part that stopped most owners from building it at all. Start with one workflow, the one that loses you the most leads, and get it live this week. On Point Tech Solutions is a GHL consultant Bay Area owners use out of Los Gatos, serving San Jose and the whole region. We build these done for you, or teach your team with an SOP, and everything stays in your account.
