You never opened a laptop. You don't have an office and you're not getting one.

The money on a Monday is already in your phone
This is for anybody who is the owner and the office at the same time. If nobody else is going to read your messages Monday morning, it's you.
Here's what changes how you spend those five minutes. The money on a Monday isn't in new leads. In ServiceTitan's 2025 residential industry report, nearly half of residential service businesses doing ten million a year said following up on estimates brings in eleven to fifteen percent of their income. That's money for texting people who already asked you what it costs.
So why doesn't it get collected? It's not laziness. You open the app with no order in your head, you land on whatever is loudest, and twenty minutes later you've read a report and answered nobody.

Setup: pin four screens, in order
You do this one time. Open the HighLevel mobile app and look at the home screen. It lets you pin four modules and drag them into whatever order you want. You don't have to work around that limit. Four is the whole routine.
Ours runs Conversations, then Opportunities, then Payments, then the Calendar. Everything else lives in the drawer behind them, and the drawer already sorts it into four groups: communication, sales and operations, insights and productivity, and marketing and growth. The first two are where you do something to a person. The other two are mostly where you read about what already happened.
Your check, thirty seconds: pull your phone out and look at your four pinned modules. Every one should be a place where you do something to a person. A message you send, a card you move, an invoice you chase, a job you confirm. If a dashboard is sitting in your four, take it out. It tells you how last month went and changes nothing today. Then check the order. If Payments sits first, you'll spend your five minutes chasing money you already earned instead of the two quotes about to go cold.
Minutes one to four: two screens, one question each
Conversations. The question isn't "what's new." It's "who wrote to me and got nothing back." Filter the list to unread and work down it. Every person leaves that list with an answer or a time on the calendar. Don't read the history. Don't tidy anything. Two minutes.
Your board. The question here is "what stopped moving." HighLevel lets you filter opportunities on Last Stage Change Date, so you can pull every card that's sat still since before last Monday instead of reading the whole board. Everything on that list gets one text, or it gets closed out as lost. Both are a win. Leaving it sitting there is the only losing move.
Your check, and you'll want to argue with this one: set a real four minute timer and run both screens. Run out of time inside Conversations? That's not a Monday problem. Nobody is answering the phone, and that's a different build. Board taking more than two minutes? Your stages are wrong, not the routine. Then look at what you actually sent. If every message says "hey, just checking in," you did the motion and skipped the point. A follow up that works names the job and asks one question the customer can answer with a yes or a time.

Minute five: who owes you, and who's on the calendar
Payments and invoices first, one question: who already has the work and hasn't paid? Skip the report. Look at the unpaid list only. Every name gets a payment link and one line of text.
Then the calendar, and you look at one thing. Does every job this week have a person's name on it? If you read our night-before dispatch build, you know why. A job with nobody on it can't text anybody.
That's the five minutes. Two screens for the money that's coming, one for the money you already earned, one for the week in front of you.
Your check is a list of things you won't do. On a Monday you don't read reports, you don't open the workflow builder, and you don't rearrange a pipeline. Write them down and do them Thursday afternoon when nothing's on fire. How you know it's working: you put the phone down, start the truck, and don't think about the CRM again all day. It should feel like reading the mail.
The gotcha: the tab that freezes your follow up
This one hides for months. There's a fifth screen, and it isn't Conversations or Tasks. It's called Manual Actions, and it lives inside Conversations.
When a workflow has a Manual Call or manual text step, the workflow stops, parks that contact in this tab, and waits for a human. Here's the expensive part, straight from HighLevel's own help page: calling the contact from the Contacts page or anywhere else won't complete the task or move the workflow forward.
So you can ring the guy, have a great conversation, and book the job, and that workflow is still sitting there waiting. Only clearing the task in that tab releases it. Every step you built after the manual action never fires.
Open that tab once this week. If there are forty things in it, you just found out where your follow up went.
Why This Matters for Bay Area and San Jose Businesses
Owners down here spend a lot of their week in the truck. A morning on 101 or 280 between jobs is time you're not at a desk anyway, so a routine built for the phone fits how the work actually runs.

Practical Steps

- Rewrite your follow up text so it names the job and asks one yes or time question.
- Check the unpaid invoice list and send a payment link to every name on it.
- Make sure every job on this week's calendar has a person's name on it.
- Write your leave it alone list: reports, the workflow builder, pipeline changes. Thursday only.
- Open Manual Actions inside Conversations once this week and clear what's stuck.
